Data and how the form works

The form requests identity and contact details, location, discipline, background, professional links, artistic proposal, motivation, availability and participation route. If you indicate municipal support, it asks about the municipality and relevant contact. Provide only relevant information you are lawfully entitled to share.

Your answers generate an application and optional download in your browser. Clicking Submit your proposal sends the fields to the server for validation and delivery through Brevo to japoncrea@yahoo.com. A technical reference and sending-acceptance status are recorded, without storing the complete application in our own database. The email and delivery providers process the content. Reviewing or downloading does not send data.

Required fields are necessary to prepare the application. Identity documents and special categories of data are not requested. The requirements field is for technical project resources; do not include medical or other sensitive information.

Purposes and legal bases

• General enquiries: responding and maintaining related communications, based on a legitimate interest in answering voluntary enquiries, balanced against your rights (GDPR Article 6(1)(f)).
• Interest and applications: understanding the proposal, assessing suitability and taking requested steps before possible participation (GDPR Article 6(1)(b)). Specific rules must define the process before formal selection.
• Operation and security: serving the website, managing requested password access and preventing abuse, based on the legitimate interest in a secure service (GDPR Article 6(1)(f)), applying cookie rules where appropriate.
• Legal obligations: complying with applicable legal obligations (GDPR Article 6(1)(c)).

Submitting an application does not subscribe you to advertising. Received names, portraits, projects or works will not be published merely because they were submitted; dissemination requires a legal basis and specific permission where applicable. The site's code does not make exclusively automated selection decisions or create advertising profiles.

Retention

Enquiries are kept as long as needed to respond and follow up. Expressions of interest and applications are kept while managing the relevant 2027 process, then deleted when no longer needed. If legal duties or potential liabilities require retention, only necessary information is restricted or blocked for applicable periods. Proposals will not be kept for incompatible future-edition purposes without information about the new legal basis.

Full-version sessions last up to eight hours and can be closed with Log out. Technical references and abuse-limiting identifiers over 30 days old are removed in batches when the form is used. Hosting and Brevo log retention depends on applicable conditions; the organisation will configure limited log and preview retention in Brevo.

Recipients and providers

Hosting and technical operation use OpenAI's ChatGPT Sites and infrastructure including Cloudflare. Brevo delivers applications to the organisation's email address. See its privacy policy. Yahoo Mail (Yahoo) handles the contact and application mailbox. These services may process technical data and, for sent email, message content according to their functions and terms. Administration is restricted to the organisation's authorised account.

The form is not automatically forwarded to municipalities, sponsors or other participants. Before sharing applications for selection, the identities, purpose and legal basis will be explained. Data may also be disclosed to competent authorities where legally required.

International processing

Technology providers may process data outside the European Economic Area. Exclusive hosting in Spain or the EU is not guaranteed. OpenAI's terms provide safeguards for international transfers, including standard contractual clauses where appropriate. Your rights

Where applicable, you can request access to your data, correction, erasure, restriction or portability, and object to processing. You can also withdraw consent without affecting processing that was lawful before withdrawal. Please contact japoncrea@yahoo.com with your request. Additional identification will only be requested when necessary and proportionate. You may complain to the Spanish Data Protection Agency.

External websites have their own policies. If forms, recipients or purposes change, this information will be updated before any new processing requiring it begins.
